Thank you for choosing to book your holiday accommodation with Port Fairy Travel & Accommodation Centre, please ensure you read the information below to ensure your stay is enjoyable.

 

Holiday Accommodation

TERMS & CONDITIONS

 

All bookings are accepted on the basis that you have read, understood and agree to abide, and be bound, by the following Terms & Conditions and House Rules.

Whilst our aim is to maintain a high standard of accommodation, we do recommend a prior personal inspection to avoid disappointment.

All holiday accommodation properties are SMOKE FREE, without exception.

Please contact a consultant if you require any further clarification.

Our office hours are: 9:00am – 5:30pm Mon-Fri, 9:00am – 4:00pm Sat, 9:30am – 3:00pm Sun

Closed Good Friday, Christmas Day and New Years Day and closed over Folk Festival Weekend (Labour Day).

 

 CHECK-IN TIME:    2:00pm                  CHECK-OUT TIME:   10:00am

 

TERMS & CONDITIONS

PAYMENTS
A 20% deposit of the total tariff plus a non-refundable Booking Fee of $10.00 is required within 48 hours of making the booking with the balance payable on the day of your arrival.  The only exception to this is peak weekends when we ask payment on the Monday prior to your arrival.

SUMMER BOOKINGS - a 20% deposit is to be paid upon rebooking a property for the following year along with the $16.50 booking fee. Please note the final balance is due in full no later than the 1st December.

We accept cash, personal cheques, money orders, EFTPOS, and credit cards (Amex incurring 3% surcharge).

Deposits are not transferable.

KEYS/REMOTE CONTROLS

Upon payment in full of your accommodation and booking fees, keys (and remote controls if applicable) are to be collected from our office at Shop 2/54 Sackville Street between 2:00pm – 5:30pm on your arrival date unless prior arrangements have been made.  If you intend to arrive after hours, then you must make prior arrangements with our office.  No responsibility will be taken for late arrivals without prior notice.

All guests are responsible for the safekeeping of accommodation keys/remotes and call out fees are payable if a replacement key is required after hours.

If keys/remotes to accommodation property are lost by the guests you are responsible for the cost of full replacement set of keys and garage remotes.

All keys/remotes controls are to be returned to our office by not later than 10:00am on your departure date.  Late check-out without prior approval will be charged a full daily rental without exception.

CANCELLATIONS
All monies paid are non-refundable.  However, in exceptional circumstances, if you cancel or fail to use your holiday accommodation booking, a refund may be payable (after a deduction of $80.00 Administration Fee) if the accommodation is able to be re-booked for the same period.

If you cancel your booking during peak seasons we will endeavour to relet the property for the full cancelled period.  If we are able to re-let, you will be refunded the deposit less an $80.00 administration fee however, if we are unable to re-let the property your deposit will be forfeited and you are liable for the full cost of the booking.  No refunds will be given for early departures

NUMBER OF OCCUPANTS
Unless otherwise previously agreed with the Agent/Property Owner, all holiday accommodation must only be used for private, residential usage only. Number of guests occupying the property must not exceed the number of persons quoted on website. Exceeding the stated number of guests will result in a termination of your Booking and you been required to vacate the Holiday Accommodation immediately without refund.  No functions or parties may be conducted at the Property under any circumstances. 

Additional caravans, motor vehicles, motorcycles and the erection of tents are strictly prohibited.

WHAT TO BRING

All premises are fully self-contained with linen supplied.  Whilst some holiday accommodation properties have small quantities of washing powder, detergents, soap and toilet paper, it is expected that you will need to bring supplies depending on our length of stay.

CLEANING

All properties are leased on the understanding that tenants will treat the property with the same respect as their own home.  Please leave the premises in the same good condition you found it.  Excess cleaning charges at $35.00 per hour will be deducted from your credit card.  Please ensure dishwashers are turned on prior to your departure or if not dishwasher supplied, make sure all dishes are washed, dried and put away prior to departure.

After use, please clean the BBQ a splash of beer and a quick rub with newspaper should suffice.

NOISE/NUSIANCE

Additional charges or immediate termination may apply in the event of unnecessary or excessive noise, nuisance or disturbance caused to neighbouring properties during your occupancy.  I/We hereby acknowledge and agree that the Agent has the absolute and sole discretion to cancel my/our occupancy in the event of my/our actions or behaviour compromise the safety and/or quiet enjoyment of neighbouring properties or others.  I/We hereby agree that I/We will be fully responsible and liable for payment of all charges incurred, irrespective of such cancellation, together with any financial loss suffered by the Property owner and/or Agent, to be debited to my credit card without further notice.

PETS
Unless specifically stated as being ‘pet friendly’, no pets are allowed either onto the grounds of the property, nor inside the holiday accommodation under any circumstances.  The Agent is not responsible for the confinement of your pet.  Any pets found in holiday accommodation properties will result in a termination of your booking and additional cleaning charges will be debited to your Credit Card if this occurs.  If your holiday accommodation is a designated ‘Pet Friendly’ property, then I/we agree that we will abide by the additional terms and conditions detailed in “Doggie Do’s and Don’ts” attached.

DAMAGE

Whilst you are in occupation, you are fully responsible for all breakages and damage caused to the Property, its furniture, fittings, or any consequent loss suffered by the Property Owner/Agent.  Any such breakages, damage or lost must be reported IMMEDIATELY to the Agent and either replaced to the satisfaction of the Property Owner/Agent, or paid for prior to departure.  Failure to comply with this condition will result in a debit of any such costs and expenses to your Credit Card without further notice.

REPAIRS

I/We agree to permit all repair and/or service personnel to enter the Property for the purposes of conducting any repair, service or maintenance deemed necessary by the Property Owner/Agent.

PERSONAL PROPERTY

Please remember to take all personal belongings with you upon departure.  No responsibility will be accepted by the Agent/Landlord for any personal possessions left after departure.  Any items left behind that need to be returned to you will be sent C.O.D. (cash on delivery), not stored at our office.

SALES INSPECTIONS

If the holiday accommodation is currently listed for sale, then I/We agree to permit the Agent to conduct inspections with prospective purchasers upon reasonable notice and at a mutually convenient time.

AFTER HOURS ASSISTANCE

For urgent after hours assistance, please call 0418 529816.

A call out fee may apply in these circumstances.

BOND

Some properties require a damage bond.  The bond will be returned less any deductions within 10 days of your departure.

TARIFFS
Every endeavour is made to keep advertised tariffs up to date and correct at all times however, tariffs are subject to change at anytime.

BOOKING SIGHT UNSEEN

We will accept no responsibility for any changes to properties, or misconceptions of properties based upon bookings made without inspection.  Every effort is made to keep inventories and photographs up to date however; we do recommend your personal inspection.  If you are not satisfied with your booking, every effort will be made to meet your requests, however please note that cancellations fees do apply.

DOUBLE BOOKING

If a double booking occurs (Note: this is extremely rare but human error can occur), the first booking taken will take precedence and if available, every endeavour will be taken to find you an equivalent property within Port Fairy Travel & Accommodation Centre.  If we have no properties available, we will do our best to outsource a property…if a property cannot be found your deposit will be refunded in full.

DISCLAIMER

I/We hereby acknowledge and agree that the Property owner and Agent will not be held responsible nor liable for:

  • any injury or loss suffered by the occupants, their invitees or guests whatsoever or howsoever caused whilst I/we are in occupancy of the holiday accommodation due to my/our failure to comply with the Terms and Conditions;
  • any injury or loss suffered by the occupants, their invitees or guests whatsoever or howsoever caused due to negligence on my/our/their part;
  • any injury or loss suffered by the occupants, their invitees or guest whatsoever or howsoever caused as a result of insects or wildlife in or around the holiday accommodation site.  All occupants are to take specific care at all times within this rural area and requested not to approach any such wildlife under any circumstance.
  • any noise, disturbance or inconvenience caused as a result of renovation/building/road works being carried out in or near the vicinity of the holiday accommodation.
  • the standard of any privately owned holiday accommodation furnishings and fittings.

 

It is hereby agreed that the Agent provides holiday accommodation booking services only for and on behalf of the Property Owner.  Any property descriptions or advertising materials are to be viewed as a general guide only.  The Agent or its representatives will not be held responsible or liable for any deficiency in the holiday accommodation or its furniture/fittings.

The Property Owners reserve the right to cancel any holiday accommodation bookings at any time, and in this event, all reasonable endeavours will be used to offer you alternative holiday accommodation but without liability.

By my/our signature hereto, I/we hereby acknowledge and agree that I have read and accept the above Terms & Conditions and hereby authorise PORT FAIRY TRAVEL & ACCOMMODATION CENTRE as Agent to debit any additional charges or fees incurred by me/us to my/our credit card without notice or demand.
